How to set template permissions to prevent users from modifying it?

BoldSign template permissions allow template creators to control what senders can modify when using a template. This ensures consistency, security, and compliance when templates are shared across teams.

Template usage settings

The below options are available while creating a template.

Files

Allow sender to add more files

  • Enabled: Senders can upload additional files while using the template.
  • Disabled: Senders can use only the files added by the template creator.

Allow sender to replace, rearrange, and delete files

  • Enabled: Senders can replace, reorder, or remove existing files.
  • Disabled: All template files are locked and cannot be modified.

These controls protect the document structure and prevent file-level changes.

Recipients

Allow sender to add more recipients

  • Enabled: Senders can add recipients beyond the predefined signer roles.
  • Disabled: Only the recipients defined in the template can be used.

This prevents unauthorized recipient or role changes.

Document message

Allow sender to edit the document message before sending

  • Enabled: Senders can modify the email subject and message.
  • Disabled: The predefined message remains unchanged.

This ensures consistent and standardized communication.

Field configuration

BoldSign provides three independent field‑level permissions:

Allow senders to add new fields

  • Lets senders insert additional form fields when using the template.

Allow senders to edit or delete fields

  • Lets senders move, resize, modify, or remove predefined fields.

Allow senders to set default values only for fields

  • Disabled by default.
  • Allows only default value updates; structural changes are blocked.

If all three options are disabled, the field configuration page is skipped, and the template is sent exactly as designed.

Steps to configure template permissions during template creation

  • Click Create New and select Create New Template.

  • On the Prepare template page, enter a title and description.
  • Add the required files in the Add file(s) section and define signer roles in the Add role(s) section.

  • Scroll down to the Template Usage Settings section.
  • Configure the required permissions to control what users can modify when using the template.

  • Click Next to proceed to Form fields configuration page.

  • After adding the required form fields, click Save template.
  • A confirmation message appears indicating that the template has been created successfully.

Pop-up message

When a template is shared with restricted permissions, users cannot modify the defined template settings while using it. These permissions apply only to the specific template for which permissions are set and can be modified only by the template owner or authorized users.
