How to send signature requests via WhatsApp?
BoldSign allows you to send signature requests and document notifications via WhatsApp, providing a fast and convenient option for recipients who prefer this messaging platform. A secure link is sent to the recipient’s mobile number, enabling them to review and sign the document directly through the WhatsApp application.
Requirements to use WhatsApp delivery
To make use of the WhatsApp delivery feature, the following requirements must be met:
- You need to have an active subscription to a paid BoldSign account - Business or higher-tier plans.
- Additionally, you are required to obtain the WhatsApp notification add-on, incurring a fee of $0.10 for each WhatsApp notification.
Enable the WhatsApp delivery feature
Follow the steps below to enable the WhatsApp delivery feature:
- From the Dashboard page, expand the
Settings
menu and selectIntegration
. - You will be taken to the Integration page, where a list of available integration applications is displayed.
- Locate the WhatsApp card and click the
Enable
button.
- If your current plan does not support WhatsApp delivery, an upgrade dialog box will appear. Click
Upgrade
to switch to a compatible plan.
- After upgrading, the Enable WhatsApp Feature dialog box will appear. Read the instructions and click the
Enable
button to activate the feature.
- Once enabled, the WhatsApp delivery feature can be used when sending documents. If needed, you can disable it later by clicking the
Disable
button on the WhatsApp card.
Send a signature request via WhatsApp
Follow the steps below to send a signature request via WhatsApp:
- Click the
Create New
button and choose theCreate New Document
option.
- On the Prepare Document page, open the Delivery Options dropdown. By default, the delivery mode is set to Email.
- Select the
WhatsApp
option.
- When selecting the
WhatsApp
option, the sender is required to input the recipient’s name and phone number. This involves selecting the correct country code and entering the recipient’s number in the designated field.
- You can allow your signers to receive the WhatsApp signature request in their preferred language. For example, if the signer’s language is set to French in the
Language
dropdown, the WhatsApp notifications will be delivered in French to the signer.
- Complete preparing your document as usual and proceed to send it for signature.
- Upon sending, the signer(s) will receive a WhatsApp message as shown below. When the recipient clicks the link in the WhatsApp message, they will be taken to the BoldSign app where they can review and sign the document electronically.
WhatsApp notifications:
WhatsApp notifications are sent for specific events, including:
- Signature requests
- Document expiration warnings
- Document deletion warnings
- Manual reminders
- Signature completion notifications
Opt-Out and Opt-In Policy
- If a signer replies with opt-out keywords like
STOP
orUNSUBSCRIBE
, they will no longer receive any further WhatsApp notifications from BoldSign. - After opting out, if the signer wishes to receive WhatsApp notifications again, they can reply with
START
orSUBSCRIBE
. This will enable them to start receiving WhatsApp notifications again.
WhatsApp replies are not monitored or processed. This channel is used exclusively for sending outgoing notifications.
Supported Countries
BoldSign’s WhatsApp feature is currently supported in the following countries: the United States, United Kingdom, Australia, Brazil, Canada, Denmark, Finland, France, Germany, Greece, Hong Kong, Hungary, India, Ireland, Israel, Italy, Japan, Mexico, Poland, Portugal, Singapore, South Africa, Spain, Sweden, Switzerland, and Puerto Rico.

Limitations for WhatsApp delivery
- WhatsApp delivery mode is a standalone feature and cannot be combined with SMS or Email delivery modes.
- Email OTP authentication cannot be used to sign documents sent via WhatsApp delivery mode.
- WhatsApp notifications are sent only to the signers and not to CC recipients.
- Signers cannot reassign the document when the delivery method is WhatsApp.
- Signers who have the WhatsApp delivery mode will not receive automatic reminders.
- Group signers are not supported by WhatsApp delivery mode.
- The WhatsApp notification text is controlled by the BoldSign WhatsApp service and cannot be customized.
If you have set a budget limit for WhatsApp notifications in your subscription preferences and it is exceeded, notifications will still be sent for previously created documents. Any remaining credits will be accounted for in the subsequent billing cycle.
