In BoldSign, when a document is sent for signature via WhatsApp and successfully completed, a comprehensive audit trail is automatically generated to ensure transparency, security, and compliance throughout the signing process. This detailed record captures essential metadata about the document, sender, recipient, and every action taken during the signing journey.
Once all signers have completed the process, the audit trail becomes available for download. It provides a timestamped, tamper-evident log of events, helping organizations maintain accountability and preserve document integrity.
The audit trail includes the following information:
- Document Information: Includes document ID, type, name, status, title, signing order, total page count, and timestamps for when the document was sent and completed.
- Sender and Recipient Details: Captures the sender’s name, email, IP address, and device information. For the recipient, only the phone number, name, IP address, and device details are recorded.
- Phone Number Tracking: Records the recipient’s phone number used for sending WhatsApp signature requests and notifications, ensuring full traceability of mobile-based interactions.
- Signer Authentication: Records regarding the signer’s authentication process used to verify the signer’s identity before accessing or signing the document.
- Signature Type and Consent: Specifies the type of signature applied (e.g., drawn signature) and confirms acceptance of the electronic signature disclosure.
- Timestamps and Events: Logs precise dates and times for each key action, such as document sent, viewed, signed, and completed.
- User Activity: Tracks user interactions such as viewing, signing, or reassigning the document, along with corresponding timestamps.
