How to use template field configuration in BoldSign?

By default, BoldSign allows senders to manage fields while using templates, offering flexibility to add new fields and modify existing one as needed. However, if you want to maintain consistency and control over the template’s fields, you can restrict senders from making such field modifications.

Follow the steps below to configure fields while using templates:

  1. Create a New Template
    • Click Create New and select Create New Template.
    • On the Prepare Template page, enter the template title in the Title field and a brief description in the Description field.
  2. Add Files and Roles
    • Upload your document(s) in the Add File(s) section.
    • Define signer roles in the Add Role(s) section.
    • Optionally, you can specify default recipient names and email addresses.

  1. Set Field Configuration Permissions
    • Navigate to Template Usage Settings.

    • Under the Field Configuration section, you’ll find the following options:

      • Allow senders to add new fields
      • Allow senders to edit or delete fields
      • Allow senders to set default values only for fields
    • You can enable or disable these options based on how much control you want senders to have over the template fields.

These options decide how much control the sender has over the fields in the document:

Configuration Type Behavior Best For
Allow senders to add new fields Allows the sender to configure new fields during document creation. When the template layout should remain fixed, but additional fields may be needed.
Allow senders to edit or delete fields Allows the sender to edit or delete existing fields already defined in the template. When full flexibility is needed to adjust or remove fields in the document.
Allow senders to set default values only for fields Allows the sender to update only the default values of existing fields. No structural changes are allowed. When the template layout must stay fixed, but default values may vary.

If all three field configuration options are disabled, the sender will not be able to add or edit the form fields. The field configuration page will be skipped, and the sender will proceed directly to sending or previewing the document.

This setup is ideal when the template is fully pre-configured and should be sent without any modifications

Usage Restriction

  • During template creation, if Allow senders to add new fields is disabled, each role must include at least one field, or Allow Configure Field must be enabled, or the signer type must be set to Reviewer.
  • If Allow senders to edit or delete fields is disabled during template creation, all required labeled fields must be pre-filled before saving the template.
  • Files can be added even when the Allow senders to add new fields option is disabled, but new fields cannot be inserted into those files.
  • New signers can be added only when Allow Configuration is enabled or when the signer role is set to Reviewer during document creation, provided the field configuration is not set to Allow senders to add new fields.
  • Self-signing is not allowed when all three field configuration options are disabled.
  • During document creation, if Allow senders to edit or delete fields is turned off, the same data sync tag cannot be reused in a new field because it’s already mapped to non-editable fields in the template…
