How to configure template field settings in the BoldSign mobile app?

Published:

In the BoldSign mobile app, you can control how senders interact with fields in templates. By default, senders can add new fields or modify existing ones, giving flexibility during document preparation. However, if you want to maintain consistency and control over the template’s fields, you can restrict senders from making such field modifications.

Follow the steps below to configure fields while using templates on mobile:

  • From the dashboard screen, tap the + icon and select Create New Template.

Create a new template

  • Tap Upload documents to upload your document(s), then tap Continue to proceed.

Upload document

  • Tap Add role and define signer roles in the Add Role(s) section.
  • Optionally, specify default recipient names and email addresses.
  • Tap Add Role again to move to the Prepare Template screen.

Add role

  • Enter the template title in the Title field and a brief description in the Description field.
  • Move to the Template Settings, tap it, and go to Field configuration.
    • Under the Field configuration section, you’ll find the following options:

      • Allow senders to add new fields
      • Allow senders to edit or delete fields
      • Allow senders to set default values only for fields
    • You can enable or disable these options based on how much control you want senders to have over the template fields.

Field configuration options

Field Configuration Options

These options decide how much control the sender has over the fields in the document:

Configuration Type Description Ideal Use Case
Allow senders to add new fields Gives the sender the ability to add additional fields during document setup. When the template layout should remain unchanged, but extra fields might be necessary.
Allow senders to edit or delete fields Lets the sender modify or remove fields that are already part of the template. When complete flexibility is required to adjust or remove fields.
Allow senders to set default values only Limits the sender to changing default values of existing fields without altering the structure. When the template design must stay fixed, but default values need customization.

When all three field configuration options are disabled, the sender skips the configuration screen and proceeds to sending or previewing the document, which is ideal for fully pre-configured templates that require no changes.

Usage Restriction

  • When creating a template with “Allow senders to add new fields” turned off, make sure each role has at least one field assigned, or enable “Allow Configure Field,” or change the signer type to Reviewer.
  • If Allow senders to edit or delete fields is turned off during template creation, you must pre-fill all mandatory labeled fields before saving the template, because senders won’t be able to modify them later.
  • You can still add files even if Allow senders to add new fields is disabled, but no new fields can be added to those files.
  • New signers can be added only when Allow Configuration is enabled or when the signer role is set to Reviewer during document creation, provided the field configuration is not set to Allow senders to add new fields.
  • When all three field options are disabled, self-signing is not permitted.
