How to create templates on the mobile app?

Templates in the BoldSign mobile app allow you to quickly reuse documents that require the same fields and signer roles. Instead of setting up the document every time, you can create a template once and use it whenever needed. Templates work by assigning fields to roles, which act as placeholders for real signers.

Follow the steps below to create a template:

  • Tap the Plus (+) icon and choose Create New Template.

  • Upload the required document. Supported formats include PDF, JPG, PNG, DOCX, and Excel (.xlsx) files. PDF is the preferred format.
  • If you have a hard‑copy document, you can scan and upload it using the Scan Document option.

  • Once you have added your file, tap Continue to proceed to adding roles.

Specify recipient role

  • On the Role(s) screen, you can Add Role or Add Group depending on your needs.
  • To add a role, tap Add role.

  • Select the recipient type, then enter the role name that the recipient will perform. A role is a placeholder for an actual recipient.
  • You can optionally enter the default recipient name and email, or leave them blank so the sender can fill in the details when using the template.

Define recipient detail editing permission
  • If you have specified default recipient details, you can restrict the sender’s actions to those details.
  • By default, senders are allowed to edit recipients and delete recipients when using the template.
  • As the template creator, you can restrict the sender from editing or deleting recipient details based on your workflow needs.

The sender cannot edit the role name, even if editing permissions are enabled.

Set authentication
  • You can optionally enable authentication to secure the document during signing.
  • BoldSign currently supports three authentication methods, including Email OTP, SMS OTP, and Access Code.

  • Choose the required method and tap Add Role to complete the recipient role setup.

Configure template settings

  • Tap Next to move to the Prepare Template screen.
  • In the Template details section, enter the template title and description.

  • You can add CC recipients if needed.
  • In the Template settings section, you can add Template tags, restrict template usage to limit the sender’s ability to modify files, recipients, document messages, and field configuration.

  • In the Document settings section, select the Brand to be used, add document tags, and decide whether signers can reassign the document when this template is used.

  • On the Prepare Template screen, tap the Configure fields button.

  • On the Configure fields screen, place and assign fields to the appropriate roles and customize each field as needed.
  • Once everything is set, tap Continue at the top‑right corner, then tap Create template to successfully save your template.
