How to mask sensitive information in a textbox form field?

The Mask Text feature in BoldSign allows document senders to protect sensitive information entered by signers in text fields. When enabled, the value entered in the field is visible only to the sender and the signer who typed it. For all other signers and CC recipients, the real value stays hidden and appears only as a masked entry.

This feature is especially useful in multi-signer workflows where confidentiality is critical such as collecting personal identification details, financial information, or confidential codes.

Enabling mask for the textbox form field

  1. Create a new document, template, or bulk link in BoldSign.
  2. Complete the initial setup, including recipients and signing order.
  3. Proceed to the Prepare page.
  4. Drag and drop a Textbox field onto the document.
  5. Assign the textbox to the signer who must provide the sensitive information.
  6. Under the Textbox Settings, Check the Mask value.

Viewing the masked value in the textbox

During signing, the assigned signer can view the text they enter in the masked textbox as they complete the field. The value remains hidden from all other signers and CC recipients throughout the workflow, ensuring that only the assigned signer and the sender can access the unmasked information.

For example, in a document such as an NDA where sensitive fields like National ID or Bank Account Number are required, the assigned signer will see the actual values they enter. However, other signers will see only masked characters (e.g., ************) in those fields, preserving privacy while still allowing each signer to review the document content.

Visibility Rules for Masked Text Fields

  • The signer to whom the masked textbox is assigned can see the full value they enter while signing.
  • Other signers in the workflow cannot view this value at any point; it always remains masked for them.
  • The masked value is always visible only to the assigned signer and the document sender.

Sender Access to Masked Text Values:

  • The sender can access the unmasked value by selecting View Document from the Document section and clicking the eye icon to reveal the masked field.
  • The sender can also download the unmasked value from the Document Overview page using Export Form Data, which provides the information in a CSV file.
