How to view templates shared with teams?

The Shared With Teams column is now available across all template categories, making it easier to see how templates are shared within your organization. No matter which page you’re viewing—All Templates, My Templates, or Shared Templates—you can quickly identify whether a template is shared and which teams have access to it.

For example, you might see that a template is shared with teams such as Hardware, Accounts, or Legal. In the All Templates section, you’ll see every template you have access to along with the teams they’re shared with.

In My Templates this column helps you verify which teams you’ve chosen to share your own templates with. And in Shared Templates, you can easily view the templates others have shared with you and check which teams they’ve made them available to. This enhancement provides clearer visibility and helps you keep track of how templates are being used across different teams in your organization

Step to View Templates Shared Across Teams

1. Go to the Templates section

Expand Templates from your left side navigation panel.

2. Choose any of the template pages
All Templates – lists everything you have access to
My Templates – only what you created
Shared Templates – what others shared with you

3. Look for the “Shared With Teams” column

This column displays all the teams that a template has been shared with — for example, teams like Hardware, Accounts, or any other custom team created within your organization.

4. Verify shared template access
You can see which teams already have access, decide if it needs to be shared with additional teams, or adjust existing permissions if certain teams no longer require access.

The “Shared With Teams” column clearly displays:

  • Templates shared with specific teams, such as Hardware or Accounts
  • Templates that are not shared with any team, which appear with a “-”
  • Shared Templates page may also show templates with “-” when they are not shared with any team

Benefits of the Shared With Teams Section

This update makes managing templates much easier across your organization. It gives everyone a clear view of which teams can use a template, reducing confusion and helping teams stay aligned. With better visibility, admins and creators can manage access more confidently, avoid accidental misuse, and ensure the right teams—like Hardware, HR, Accounts, and Legal—have what they need. Overall, it enhances collaboration, improves control, and keeps your template workflow running smoothly.
