Why do some of my recipients show no fields in the preview?

When preparing a document for signing in BoldSign, you may notice that one or more recipients display no fields in the preview panel. This means that no signature, form, or input fields are currently assigned to that recipient.

This article explains why recipients may show no fields, what it means, and how to fix it when a signer is expected to take action.

Why do recipients show no fields?

A recipient may display no fields in the preview for one or more of the following reasons:

  • No signature or form fields have been added for that recipient.
  • Fields were added but assigned to a different recipient or to other recipients only.
  • Fields previously assigned to the recipient were deleted.
  • The recipient is added as a reviewer and is not required to sign or fill out any fields.

What does no fields mean?

When a recipient shows no fields:

  • The recipient can view or review the document but cannot sign or fill out any information.
  • If the recipient is expected to sign, the signing process cannot be completed.

To ensure a smooth signing experience, every intended signer should have at least one required field assigned before sending the document.

How to fix recipients showing no fields?

Step 1: Review assigned fields

  • Go to Configure fields page of your document.
  • Use the recipient dropdown in the Fields panel to select each recipient.
  • Verify that the field count matches the number of fields assigned to that recipient.

Step 2: Assign fields to the correct recipient

  • Drag and drop signature, initials, text, or date field onto the document.
  • Select the field and confirm that the assigned recipient is set correctly in the field settings panel.

Step 3: Check for misassigned fields

Fields may sometimes be assigned to the wrong recipient. To verify and correct this:

  • Click each field on the document.
  • Verify which recipient the field is assigned to.
  • In the field settings panel on the right, use the Assigned to dropdown to select the correct recipient.

Step 4: Confirm required signers have fields

Ensure that every signer has at least one required field, such as:

  • Signature fields
  • Initials
  • Required form fields relevant to their role.

Step 5: Preview the document

After updating fields:

  • Click Preview.
  • Select each recipient from the preview dropdown.
  • Confirm that the correct fields appear for each recipient.

  • When duplicating fields, verify that the duplicated fields are assigned to the intended recipient.
  • Use recipient color coding to visually identify field ownership.
  • If the issue persists, remove the recipient, add them again, and reassign the fields.
