How to manage the documents in trash in the mobile app?

In BoldSign, deleted documents are retained in the Trash section for 30 days before being permanently removed. During this period, you can either restore the documents to their original location or permanently delete them.

What documents are listed in the Trash?

The Trash section displays documents that have been deleted from the following sections:

  • Drafts – Documents that were created but not yet sent
  • Completed – Documents that have been successfully signed and completed
  • Declined – Documents that were declined by one or more signers
  • Revoked – Documents that were recalled or revoked by the sender
  • Expired – Documents that expired before completion
  • Scheduled to be sent – Documents that were scheduled for future sending

Retention period
Deleted documents are retained in the Trash section for 30 days. After 30 days, the documents are automatically and permanently deleted and cannot be recovered.

Accessing the Trash section

Follow the steps below to access the Trash in the BoldSign mobile app:

  • On the Dashboard screen, tap the menu icon (three lines) and select the Documents.

  • From the Documents menu, choose the Trash.

  • All deleted documents from previous states will be listed on this screen.

Restoring documents

In BoldSign, you can restore documents from the Trash. You can restore either a single document or multiple documents at once.
Follow the steps below to restore the documents in Trash:

  • Tap the more options button (three dot icon) on the document you want to restore in Trash.
  • In the bottom sheet, tap Restore.

  • The document will be restored to its original location.
  • To restore multiple documents, tap any of the documents you want to restore. A multi select checkbox will then appear on all documents.
  • You can also tap Select All to select all documents in the Trash section.
  • Tap the Restore button that appears at the bottom of the screen.

Deleting documents permanently

You can permanently delete documents from the Trash before they are automatically removed. You can either delete a single document or delete multiple documents at once.

Follow the steps below to delete documents from the Trash:

  • Tap the More options button (three dot icon) on the document.
  • In the bottom sheet, tap Delete forever.

  • To delete multiple documents, tap on any document you want to delete. A multi select checkbox will then be displayed for all documents.
  • You can also tap Select All to select all documents in the Trash section.
  • Tap the Delete Forever button that appears at the bottom of the screen.
  • All selected documents will be permanently deleted and cannot be restored.

Downloading Trash documents

You can download documents directly from the Trash section.

  • Tap the More options button on the document you want to download.
  • In the bottom sheet, tap Download document.
  • The document is downloaded based on your business profile settings:
    • Combined – All documents are merged and downloaded as a single PDF.
    • Individual – Documents are downloaded as a ZIP file containing individual PDF files.

Searching for documents in Trash

  • You can quickly find documents in the Trash using the search feature.
  • Tap the Search icon at the top of the Trash.

Search using either of the following:

  • Document name or text – Enter keywords from the document name or content.
  • Document ID – Enter the exact document ID to locate a specific document.
    Matching documents from the Trash section are displayed in the search results.
