How can I send BoldSign documents using Tracker and Zapier?

Published:

You can automate document sending by connecting Tracker with BoldSign through Zapier. This allows recipient and work order information stored in Tracker to be automatically populated into a BoldSign document, reducing manual data entry and streamlining the signature process.

Before you begin

Ensure you have:

  • A Zapier account.
  • Access to your Tracker account.
  • A connected BoldSign account in Zapier.
  • A BoldSign template containing the fields you want to populate.

Configure Tracker as the trigger

Tracker can be configured as the trigger application in Zapier.

  1. Create a new Zap in Zapier.

Create new

  1. Select Tracker as the trigger application.

Tracker

  1. Choose the event that should start the workflow.

    Examples include:

    • New activity.
    • New client.
    • New invoice
    • New lead

New activity

This article uses Tracker as an example. The same workflow can be used with other CRM systems and databases supported by Zapier.

Configure BoldSign as the action

After configuring the trigger, add BoldSign as the action application.

  1. Select Send Document from Template as the action.
  2. Choose the BoldSign template you want to use.
  3. Map Tracker fields to the corresponding recipient and document fields in the template.

For example, you can map:

  • Recipient name
  • Recipient email address

Map fields

Test and enable the workflow

Before enabling the Zap:

  1. Run a test to verify that Zapier retrieves the correct data from Tracker.
  2. Confirm that the mapped values populate the expected fields in the BoldSign template.
  3. Turn on the Zap.

Test

  • Use a BoldSign template that contains the required recipient and custom fields. Data can be populated only when matching fields exist in the template.
  • Available trigger events depend on the CRM or database actions supported by Zapier.

What happens after the workflow is enabled?

Once the Zap is enabled:

  1. The selected Tracker event triggers the workflow automatically.
  2. BoldSign creates and sends a document using the selected template.
  3. Recipient and work order information are populated automatically from Tracker.
  4. Manual data entry is reduced and document preparation becomes more efficient.
  • The available trigger events depend on the actions supported by Tracker in Zapier.
  • Only fields available in the selected trigger can be mapped to BoldSign.
  • Matching recipient and custom fields must exist in the BoldSign template before data can be populated.
  • This workflow can also be adapted to other CRM and database platforms supported by Zapier.

Can signers view additional instructions or information?

Yes. If signers need additional context about a document, you can include instructions directly within the document content, form field labels, field descriptions, or recipient messages before sending the signature request.
