How to create custom permission?

By default, team admins or members cannot access other team documents or bulk link documents. However, using the Custom Permissions feature, an account admin can grant access to these documents for any team admin or member. Additionally, the account admin can track the history of granted and denied permissions for specific members using the Filter option.

The following permissions can be allowed or denied to a particular user.

Documents

  • View Metadata - Can view the metadata of the document.
  • Edit - Allows to edit in-progress documents.
  • Delete - Allows to delete completed documents.
  • View Document - Can view and download the document, clone the document, and download the audit trail document.

Templates

  • View - Can view and use the template, copy the template ID, and download the document.
  • Edit - Allows to edit, clone, and share the template, copy the template ID, and download the document.
  • Delete - Allows to delete the template.

Bulk Links

  • View Metadata – Can view the metadata of the bulk link.
  • Create – Allows to create and clone bulk links.
  • Edit – Allows to activate and edit the metadata of the bulk link.
  • Delete – Allows to delete and deactivate the bulk link.
  • View Document – Can view and download the bulk link, clone the document, download the bulk link document, and view the document.

Bulk Send

  • Create- Allows to create bulk sends.
  • Edit- Allows to manage bulk sends.
  • Delete- Allows to delete bulk sends.
  • View Metadata- Allows to view the meta data of documents associated with bulk sends, such as document and signer details.
  • View Document- Allows to view, download, and export documents associated with bulk sends.

Creating new custom permission

  • Select Custom Permissions from the Users and Teams menu and then click the New Custom Permission option.
  • You can find fields like Users, Entity type, select teams, etc.
  • Fill in all the fields based on the requirement and click Save.
  • The custom permission will be created, and the particular member specified in the Users column will have access to the documents of the team(s) specified in the Select Teams column.
  • To deny the already allowed permission, click New custom permission, fill in all the fields as specified in the allowed permission, select the Deny option, and click Save. The permission allowed to the particular user will be denied.
  • In the below example, the account administrator allows Mathew Wilson from the Design Team to view the metadata and edit the documents of the Creative team.

  • After creating the custom permission, the details will be displayed on the Custom permissions page.
  • To delete the record from the custom permission page, select the user and click the delete option. The user’s permission will also be canceled if you delete the record.

Filtering the particular user

You can find the custom permissions allowed or denied to a particular user using the filter option.

  • Click the Filter option on the right side of the Custom Permissions page.
  • Fill in all the required fields and click Apply Filter.

  • Now, the custom permissions allowed/denied for a particular user will be displayed.
