How to create a template in HubSpot?

The BoldSign and HubSpot integration allows you to create reusable document templates directly in HubSpot CRM, streamlining your e-signature workflow. By mapping HubSpot fields to template fields, you can auto-populate documents with contact, company, or deal data, saving time and ensuring accuracy.

Follow the steps below to create a template directly from HubSpot:

  1. Once you have connected BoldSign and HubSpot, open the required record with the integration enabled.
  2. Locate the BoldSign App Card from the right navigation section.
  3. Expand the Actions menu and choose Create Template.

  1. Fill Template Details.
    • Enter the template title and description.
    • Upload the document files you want to use in the template.

  1. Configure Roles.
    • Add template roles as needed.
    • For each role, configure the following:
    • Language: Select the preferred language for the signer.
    • Signer Type: Choose the type of signature (e.g., Signer, Reviewer).
    • Signing Order: Set a single signing order that applies to all roles collectively.
  2. Add CC and Document Details
    • Specify CC recipients if needed.
  3. Fill in document details such as title and message.

  1. Click Next to navigate to the Configure field page.
  2. Place form fields.
    • Drag and drop fields (e.g., signature, text, date) onto the document.
    • Assign each field to the appropriate role.
    • Specify the Field ID for all the form fields you want to map with HubSpot details. For example, if you want to map a textbox field to be prefilled with a phone number, enter PhoneNumber as the Field ID to enable easy mapping.

  1. Map BoldSign Fields from the template with HubSpot Fields.
    • Click Create Template to open the Field Mapping page.
    • All fields requiring mapping are listed. To map field properties, click the HubSpot object details dropdown menu for each field and select the appropriate property.
    • This ensures dynamic data population during the send process.

  1. Save the Template
    • Click the Save button located at the top-right corner.

  1. The template is saved successfully.
    • This template will be shared with all BoldSign users in your team. So, that it can be used by other HubSpot users.
    • Click the Close button to go back to your CRM dashboard.
