What happens when a signer's email address changes after a document is sent?

Published:

If a signer’s email address changes after a document has been sent, BoldSign continues to associate the signing request with the email address originally added to the document.

Changing a user’s email address in their BoldSign account does not automatically update the signer email address for documents that are already in progress.

How does an email address change affect in-progress documents?

If a document was sent to a signer’s previous email address:

  • Signature requests continue to be associated with the original signer email address.
  • Reminder notifications are sent to the original signer email address.
  • The signer may be able to view the document but may not be recognized as the active signer if the document was assigned to a different email address.
  • Updating the email address in the user’s BoldSign account does not update existing signature requests.

How do I update a signer’s email address?

The sender or admin of the sender can update a signer’s email address while the document is still in progress.

After the email address is updated:

  • Future signature requests and reminders are sent to the new email address.
  • The signing process is associated with the updated email address.
  • The previous email address receives a notification that the signer information was changed.

Can I use a signing link instead?

Yes. If signing link generation is enabled, you can generate and share a signing link for the document.

To use a signing link:

  1. Enable Enable Document Signing Link Generation in your Business Profile settings.
  2. Open the document.
  3. Generate the signing link.
  4. Access the document using the generated signing link and complete the signing process.

  • A signer’s email address can only be updated while a document is in progress.
  • Email addresses cannot be updated after a document has been completed, declined, expired, or revoked.
  • Changing a user’s account email address does not automatically update signer details in existing documents.
  • Existing signing requests remain associated with the signer email address originally specified when the document was sent.

After updating the signer’s email address or using a signing link, the signer can access and complete the signing process using the updated access method.
