Can I hide signer email addresses in a multi-signer document?

Published:

In multi-signer documents, signer email addresses and recipient information may appear in email notifications, completion emails, and certain areas of the signing experience.

Currently, BoldSign does not provide a setting to completely hide signer email addresses from all participants throughout the signing process. However, you can reduce signer email address visibility in specific areas by customizing email content and excluding the audit trail from completion emails.

Reduce signer email address visibility in email notifications

If signer information is displayed in email notifications, you can remove the signer list placeholder from the email template.

Step 1: Open email content customization

  1. Go to Settings > Branding.
  2. Open the brand used for your signing requests.
  3. Select the Email Content Customization tab.
  4. Open the email template used for signing and notification emails.

Step 2: Remove the signer list placeholder

  1. Click Edit.
  2. Remove the signer list placeholder from the email content.
  3. Click Save.

Edit

This prevents signer information generated by the signer list placeholder from appearing in email notifications.

Email content customization is available only on Business and higher tier plans.

Exclude the audit trail from completion emails

The audit trail contains signer information, including participant email addresses. You can exclude the audit trail from completion emails to reduce recipient visibility.

  1. Go to Settings > Branding.
  2. Open the required brand.
  3. Select the Advanced tab.
  4. Enable the option to exclude the audit trail from completion emails.
  5. Click Save.

What are the current limitations?

The following limitations currently apply:

  • Signer email addresses cannot be completely hidden from all participants.
  • Signer email addresses may still be visible in the More Info section of the signing page.
  • Recipients may be able to access or download the audit trail from the signing page, depending on the signing experience.
  • Using In-Person Signer does not provide a way to completely hide signer email addresses in a standard multi-signer workflow.

Result

After completing these steps:

  • Email notifications will no longer display signer information generated by the signer list placeholder.
  • Completion emails can be delivered without including the audit trail.
  • Signer information visibility is reduced within email communications.
